User Instruction Manual

Version 1.0.0

GroWright Lite is a WordPress plugin for managing nursery and wholesale operations, including customers, products, inventory, wholesale orders, and customer self-service ordering.

This manual explains how to install, configure, and use the Lite edition.


1. System Requirements

GroWright Lite requires:

  • WordPress 6.4 or newer
  • PHP 8.0 or newer
  • A WordPress administrator account or another account with GroWright Lite management permission
  • JavaScript enabled in the browser

WooCommerce is not required.


2. Installing GroWright Lite

Install from a ZIP file

  1. Log in to WordPress Admin.
  2. Go to Plugins → Add Plugin.
  3. Click Upload Plugin.
  4. Select the GroWright Lite ZIP file.
  5. Click Install Now.
  6. Click Activate Plugin.

When activated, GroWright Lite:

  • Creates its database tables.
  • Creates the default Main Inventory inventory column.
  • Creates a WordPress page named Customer Portal.
  • Adds the GroWright Lite administration menu.
  • Starts the cart-expiration process used by customer ordering.

GroWright Lite 1.0.0 is designed as a fresh installation.


3. GroWright Lite Admin Menu

After activation, WordPress Admin contains a GroWright Lite menu with these sections:

Dashboard

Displays summary information including:

  • Active Products
  • Units Available
  • Open Orders
  • Active Customers

The Dashboard also provides quick links to:

  • Add Product
  • Add Customer
  • Create Order

Customers

Contains:

  • Customers
  • Delivery Routes

Products

Contains:

  • Products
  • Categories
  • Sizes

Inventory

Used to enter and manage current product quantities.

Orders

Contains:

  • Create Order
  • Open Orders
  • Processing Orders
  • Completed Orders

Settings

Contains:

  • Products settings
  • Orders settings

4. Recommended Initial Setup

For a new installation, configure GroWright Lite in this order:

  1. Create Categories.
  2. Create Sizes.
  3. Create Products.
  4. Add Delivery Routes if needed.
  5. Add Customers.
  6. Connect WordPress users to customer accounts.
  7. Enter Inventory.
  8. Review Settings.
  9. Test the Customer Portal.
  10. Test customer ordering.

Creating Categories and Sizes before Products is recommended because products select from the active Category and Size records.


5. Categories

Go to:

GroWright Lite → Products → Categories

Categories are used to organize products.

Examples:

  • Annuals
  • Perennials
  • Shrubs
  • Trees
  • Tropicals
  • Groundcovers

Add a Category

Click Add New and enter:

Category Name

The name customers and administrators will see.

Example:

Perennials

Sort Order

Controls the preferred category ordering.

Lower numbers appear before higher numbers.

Active

Choose:

  • Yes
  • No

Inactive categories remain stored but should not be used for active product organization.

Click Save.


6. Sizes

Go to:

GroWright Lite → Products → Sizes

Sizes allow products to share size-level information.

Examples:

  • 1 Gallon
  • 3 Gallon
  • 5 Gallon
  • 10 Inch
  • Flat
  • Tray

Add a Size

Enter:

Size Name

The size displayed with products.

Example:

1 Gallon

Sort Order

Controls the preferred order of sizes.

Group Price

Optional.

If a Group Price is entered, that price overrides the individual Product Wholesale Price for products assigned to that size.

Example:

If:

1 Gallon → Group Price = $8.50

products assigned to the 1 Gallon size will use $8.50 for wholesale ordering instead of their individual Wholesale Price.

Leave Group Price blank when products in that size should use their own Wholesale Prices.

Retail Units

Stores the number of retail units associated with the size.

The Retail Units value belongs to the Size rather than to individual Products in GroWright Lite.

Active

Choose whether the size is currently available for use.

Click Save.


7. Products

Go to:

GroWright Lite → Products → Products

Add a Product

Click Add New.

Enter the following information.

SKU

The unique product identifier.

Example:

ACE-RED-1G

Common Name

The main product name shown to administrators and customers.

Example:

Autumn Blaze Maple

Botanical Name

Optional botanical or scientific name.

Example:

Acer × freemanii 'Jeffersred'

Category

Select an active Category.

Size

Select an active Size.

Product Image

Click Choose Image to select an image from the WordPress Media Library.

Wholesale Price

The normal wholesale selling price.

If the selected Size has a Group Price, the Size Group Price takes precedence during ordering.

Retail Price

Stores a retail price for the product.

The current Lite customer ordering system calculates orders using the effective wholesale price, not the Retail Price.

Cost

Stores the internal product cost.

Active

Only active products are intended to appear in normal product availability and ordering workflows.

Click Save.


8. Searching and Filtering Products

The Products screen includes filters for:

  • Search
  • Category
  • Size
  • Stock Status
  • Active Status
  • First Sort
  • Second Sort
  • Third Sort

Search can match information such as:

  • Product name
  • Botanical name
  • SKU

Multiple sort levels can be used.

For example:

First Sort: Category

Second Sort: Size

Third Sort: Name

This can make large product catalogs easier to manage.


9. Delivery Routes

Go to:

GroWright Lite → Customers → Delivery Routes

Routes are optional and allow customers to be associated with a delivery route.

Add a Route

Enter:

Route Name

Example:

Chicago North

Delivery Days

Select one or more days of the week.

Frequency

Choose:

  • Weekly
  • Biweekly

Biweekly Start Date

When using a biweekly route, choose a date that falls within the first active delivery week.

Active

Choose whether the route is active.

Click Save.

Delivery routes in Lite can be used for customer organization. Advanced delivery-date scheduling is not included in the Lite edition.


10. Customers

Go to:

GroWright Lite → Customers → Customers

Add a Customer

Click Add New.

Enter:

Company Name

The customer’s business or account name.

Email

Primary customer email address.

Phone

Primary phone number.

Billing Address

Customer billing address.

Shipping Address

Customer shipping or delivery address.

Delivery Route

Begin typing a route name and select the appropriate route.

A route is optional.

Active

Only active customers can participate normally in ordering and portal access.


11. Connecting WordPress Users to Customers

Customer Portal access is based on existing WordPress user accounts.

Edit a Customer and locate:

WordPress User Access

Use the search box to find a WordPress user by:

  • Name
  • Username
  • Email

Select the user.

Two access options are available.

Account

Provides customer account access.

This is normally enabled for users who should be associated with the customer account.

Ordering

Allows the user to access:

  • Orders
  • Create Order
  • Customer ordering functions

For a normal customer who should see account information and place orders, enable both:

Account + Ordering

A WordPress user can be connected to more than one customer account.

When this occurs, the Customer Portal provides customer account tabs so the user can switch between companies.

Click Save after changing user access.


12. WordPress Users Screen

GroWright Lite adds a GroWright Company column to the standard:

Users → All Users

This can help administrators identify which WordPress users are connected to GroWright customer accounts and which access roles they have.


13. Inventory

Go to:

GroWright Lite → Inventory

GroWright Lite creates a default inventory location named:

Main Inventory

The Inventory screen contains columns including:

  • SKU
  • Product
  • Size
  • Main Inventory
  • Allocated
  • Available

Enter Inventory

Find the desired product.

Enter the quantity in the Main Inventory field.

Changes save automatically.

There is no separate Save button for each inventory adjustment.

Available Inventory

The Available value represents inventory still available for ordering.

When inventory is reserved by a cart or order, GroWright Lite reduces the available inventory.

Allocated Inventory

Allocated inventory represents quantities assigned to applicable open orders.

Customer shopping carts can also temporarily reserve inventory while the cart is active.


14. Inventory Reservations

GroWright Lite reserves inventory during ordering.

When a customer adds a product to a cart:

  1. Inventory is temporarily reserved.
  2. Available inventory is reduced.
  3. The reservation remains while the cart is active.
  4. If the cart expires, the reserved inventory is returned.
  5. If the customer submits the order, the reservation becomes part of the order.

This helps reduce the possibility of multiple customers ordering the same available inventory.


15. Inventory Filters

The Inventory page can be filtered by:

  • Search
  • Category
  • Size
  • Stock Status
  • Active Status

Stock Status includes:

  • All
  • In Stock
  • Out of Stock

You can also select up to three sort levels.


16. Creating an Order from WordPress Admin

Go to:

GroWright Lite → Orders → Create Order

Step 1 — Select Customer

Select an active Customer before adding products.

This is important because inventory reservations are associated with the selected customer/order session.

Step 2 — Enter PO Number

Optional.

Enter the customer’s purchase order number if applicable.

Step 3 — Find Products

Use:

  • Search
  • Category
  • Size
  • Stock Status
  • First Sort
  • Second Sort
  • Third Sort

Step 4 — Enter Quantities

Enter the quantity beside each desired product.

The Order Summary updates automatically.

By default, administrators cannot order more than the available inventory.

This can be changed under:

GroWright Lite → Settings → Orders → Admin out-of-stock ordering

Step 5 — Add Order Notes

Use the Notes field for general order notes.

Step 6 — Create Order

Click:

Create Order

New admin-created orders are created with the Submitted status.


17. Editing an Existing Order

Go to:

GroWright Lite → Orders

Locate the order and click:

Edit

The existing products and quantities are loaded into the order editor.

Administrators can:

  • Change the customer
  • Change the PO Number
  • Add or remove products
  • Change quantities
  • Update Notes

Click:

Update Order

Inventory reservations are recalculated when an order is edited.


18. Printing an Order

From an Orders list, click:

Print

A printable order opens in a new browser tab or window.

The printed order can include:

  • Customer
  • Shipping address
  • Products
  • Quantities
  • Prices
  • Order notes
  • Custom order document header

Use the browser’s Print command to print or save it as a PDF.


19. Order Tabs

The Orders screen contains four main tabs.

Create Order

Creates a new administrative order.

Open Orders

Displays orders with open statuses such as:

  • Draft
  • Submitted
  • Confirmed

Processing Orders

Displays orders currently being pulled or processed.

Completed Orders

Displays orders with completed statuses such as:

  • Delivered
  • Cancelled

20. Pull Numbers and Pull Sheets

The Open Orders screen contains a Pull Number field.

Create Pull Sheets

  1. Open GroWright Lite → Orders → Open Orders.
  2. Enter a Pull Number beside each order you want to process.
  3. Leave orders you do not want included blank.
  4. Click Create Pull Sheets.

Orders with a Pull Number are moved into the Processing status.

GroWright Lite generates printable pull documents containing:

  • Master Pull List
  • Product quantities
  • Pull Numbers
  • Individual customer/order packing information

Products are grouped by Size when possible.


21. Returning a Processing Order to Pending

Go to:

GroWright Lite → Orders → Processing Orders

Locate the order and click:

Move to Pending

The order returns to the Submitted status and its Pull Number is cleared.


22. Order Status Names

GroWright Lite contains these internal order statuses:

  • Draft
  • Submitted
  • Confirmed
  • Processing
  • Delivered
  • Cancelled

The display names can be customized.

Go to:

GroWright Lite → Settings → Orders

Each status contains a text field where the displayed label can be changed.

Changing the display label does not change the underlying internal status.


23. Customer Portal

GroWright Lite creates one frontend WordPress page named:

Customer Portal

The page contains the:

GroWright Lite Customer Portal block.

All customer frontend functions are handled from this single page.

Customers must log in to WordPress before accessing their customer account.

If the login has not been connected to an active customer, the portal displays:

No active customer account is connected to this login.


24. Customer Portal Dashboard

After logging in, the customer sees their Customer Portal.

The Dashboard can display:

  • Company Name
  • Email
  • Phone
  • Billing Address
  • Shipping Address

If the WordPress login is connected to multiple customer accounts, account tabs appear across the top.

Selecting another account changes the active customer context.


25. Customer Portal Orders

Users with Ordering permission receive an Orders tab.

The Orders screen displays:

  • Order Number
  • Order Date
  • Status
  • Total
  • Available actions

Customers can filter their order history by:

  • From Date
  • To Date
  • Orders per page

Available page sizes are:

  • 10
  • 50
  • 100

Customers can also print orders.


26. Allowing Customers to Edit Orders

Go to:

GroWright Lite → Settings → Orders

Each order status contains:

Customer may edit orders in this status

Enable this option for the statuses where customer editing should be allowed.

For example, you may choose to allow editing while an order is Submitted but stop editing after it reaches Processing.

When an order can be edited, the customer’s Orders screen displays:

Edit Order


27. Customer Creating an Order

The customer logs in and opens:

Customer Portal → Create Order

The product catalog displays current wholesale availability.

Customers can:

  • Search products
  • Filter by Category
  • Filter by Size
  • Filter by Stock Status
  • Sort using up to three levels
  • Show product images
  • Enter quantities

Products without available inventory cannot normally be ordered by customers.


28. Customer Shopping Cart

After entering quantities, click:

View Cart

The cart displays:

  • Customer
  • PO Number
  • Selected products
  • Quantity
  • Estimated line totals
  • Estimated order total
  • Order Notes

The customer can:

  • Change quantities
  • Remove products by changing quantity to zero
  • Continue Shopping
  • Submit Order

Click:

Submit Order

After submission, the customer can return to the Orders section of the same Customer Portal.


29. Cart Hold Time

GroWright Lite temporarily reserves inventory when products are placed in a customer cart.

Go to:

GroWright Lite → Settings → Orders → Customer Ordering

Set:

Cart hold time

The default is 30 minutes.

Example:

30 minutes

You can also enable:

Show the cart expiration countdown on customer order pages

When enabled, customers can see how long the current inventory reservation remains active.

If the cart expires, GroWright Lite releases its inventory reservation.

The customer can be given an option to continue with the existing cart or empty it and start a new cart.


30. Product Availability Block

In addition to the Customer Portal, GroWright Lite provides:

GroWright Lite Availability

This block can be added to any WordPress page.

Add the Availability Block

  1. Edit a WordPress page.
  2. Open the Block Inserter.
  3. Search for GroWright Lite Availability.
  4. Insert the block.
  5. Change the heading if desired.
  6. Publish or Update the page.

The default heading is:

Current Availability


31. Availability Page Features

The Availability block can show current active products and inventory.

Visitors can:

  • Search
  • Filter by Category
  • Filter by Size
  • Filter by Stock Status
  • Sort by Name
  • Sort by Category
  • Sort by Size
  • Show product images
  • Print the availability list

The Availability block is for viewing products.

Customer ordering is handled through the Customer Portal.


32. Availability Price Visibility

Go to:

GroWright Lite → Settings → Products

Under Online Availability, enable:

Show product prices only to logged-in users

When enabled, public visitors can view availability without seeing wholesale pricing.

Logged-in users can see prices.


33. Availability Product Details

Under:

Settings → Products → Online Availability

you can choose whether the public availability page shows:

  • Botanical Name
  • Quantity Available

Disable either option if you want a simpler public availability display.


34. Printable Availability

The Availability block includes:

Print Availability

Go to:

GroWright Lite → Settings → Products → Printable Availability

You can configure whether printed availability includes:

  • Botanical Name
  • Quantity Available

You can also choose a:

Document Header

The header image is selected from the WordPress Media Library.

This can be a:

  • Company logo
  • Nursery header
  • Branded document banner

35. Printable Order Header

Go to:

GroWright Lite → Settings → Orders → Printable Orders

Choose a Document Header from the WordPress Media Library.

The image is used on printable customer order documents and pull paperwork where applicable.


36. Admin Out-of-Stock Ordering

Go to:

GroWright Lite → Settings → Orders

Enable:

Allow on admin order pages

under Admin out-of-stock ordering.

When disabled, the admin order screen limits quantities to available inventory.

When enabled, administrators can enter quantities greater than current availability.

Use this option carefully because it allows orders to exceed inventory currently entered in GroWright Lite.

Customer Portal ordering remains availability-based.


37. Pricing Rules

GroWright Lite uses the following pricing order:

Product Wholesale Price

Each Product can have its own Wholesale Price.

Size Group Price

If the Product’s Size has a Group Price, that Group Price overrides the Product Wholesale Price.

Example:

Product Wholesale Price:

$9.25

Size Group Price:

$8.75

Effective order price:

$8.75

If Group Price is blank, the Product Wholesale Price is used.


38. Customer Access Examples

Account information only

Enable:

Account

Do not enable Ordering.

The user is connected to the customer without receiving the full ordering workflow.

Customer who can place orders

Enable:

Account

and:

Ordering

User who manages multiple customer companies

Connect the same WordPress user to each Customer record.

The Customer Portal will display the available customer accounts as tabs.


39. Recommended Daily Workflow

A typical nursery workflow with GroWright Lite is:

  1. Update Inventory.
  2. Review new customer orders.
  3. Create any phone/email orders through Admin.
  4. Assign Pull Numbers to orders that are ready.
  5. Click Create Pull Sheets.
  6. Print the Master Pull List.
  7. Print customer order/packing documents.
  8. Process the orders.
  9. Keep product, customer, and inventory records current.

40. Recommended Product Setup Practices

For cleaner reporting and ordering:

  • Use consistent Category names.
  • Use consistent Size names.
  • Give every product a unique SKU.
  • Enter botanical names consistently.
  • Use Size Group Price only when all products of that size should share the same wholesale price.
  • Keep inactive products instead of creating duplicate products when appropriate.
  • Add clear product images when customers use the online portal.
  • Keep inventory updated before opening customer ordering.

41. Recommended Customer Setup Practices

For each customer:

  • Use the official company name.
  • Enter a current email and phone number.
  • Maintain accurate billing and shipping addresses.
  • Assign a delivery route when appropriate.
  • Connect only the necessary WordPress users.
  • Give Ordering permission only to users authorized to place orders.

42. Troubleshooting

Customer sees “No active customer account is connected to this login”

Check:

GroWright Lite → Customers → Edit Customer → WordPress User Access

Confirm:

  • The correct WordPress user is connected.
  • The Customer is Active.
  • The connection has been saved.

Customer cannot see Orders or Create Order

Edit the Customer and make sure the WordPress user has:

Ordering

permission.

Product does not appear in ordering

Confirm:

  • Product is Active.
  • Category is Active.
  • Size is Active.
  • Product has the correct Category and Size.

Also check the active search and filters.

Product shows zero availability

Go to:

GroWright Lite → Inventory

Enter inventory for the product.

Remember that customer carts and existing orders may already have inventory reserved.

Admin cannot enter a quantity above available stock

Enable:

Settings → Orders → Admin out-of-stock ordering

Customer cannot edit an order

Go to:

Settings → Orders

Check whether:

Customer may edit orders in this status

is enabled for the order’s current status.

Prices are missing from public availability

Check:

Settings → Products → Show product prices only to logged-in users

If enabled, visitors must log in before prices are shown.

Some advanced functionality is intentionally not part of the Lite edition.

The Lite edition does not include customer document uploads or advanced requested/delivery-date scheduling.


44. Backup and Uninstall Warning

GroWright Lite stores operational information in its own WordPress database tables.

Before deleting the plugin, create a full WordPress database backup if you need to retain:

  • Customers
  • Products
  • Inventory
  • Orders
  • Customer connections
  • Settings

Deleting GroWright Lite through WordPress runs the plugin uninstall process and removes GroWright Lite operational data, settings, scheduled tasks, related user metadata, and the Customer Portal page created by the plugin.

Deactivating the plugin is different from deleting it.

Deactivate the plugin when you temporarily want it disabled.

Delete the plugin only when you intend to remove GroWright Lite and its stored data.


45. Quick Setup Checklist

Before giving customers access, confirm:

  • Categories have been created.
  • Sizes have been created.
  • Products have been created.
  • Wholesale prices are correct.
  • Size Group Prices are correct where used.
  • Inventory has been entered.
  • Customers have been created.
  • WordPress users have been connected to customers.
  • Ordering permission has been assigned where appropriate.
  • Customer Portal page works while logged in as a customer.
  • Customer can create an order.
  • Customer can view submitted orders.
  • Availability settings are configured.
  • Printable document headers are configured if desired.
  • Cart hold time is configured.
  • Customer order-edit permissions are configured.
